After creating a quote, you’ll want to review it before sending to your client. This guide explains how to view and understand quotes in the system.
Accessing Your Quotes
Step 1: Open the Quotes List
- Click “Quotes” in the main menu
- You’ll see all your quotes in a table, with most recent first
Step 2: Locate Your Quote
The quotes list shows key information:
- Quote Number: The unique ID for the quote
- Client: Who the quote is for
- Total: The quoted amount
- Status: Draft, Sent, or Void
- Valid Until: When the quote expires
Step 3: Click to View Details
- Click the quote number or the eye icon
- The full quote details will open
Understanding the Quote View
Quote Header
At the top, you’ll see:
- Quote number and title
- Client name and their email address
- Current status
Quote Timeline
- Issue Date: When the quote was created
- Valid Until: When the quote expires (client must respond by then)
- Shows how many days the quote is valid for
Line Items Table
Lists everything in the quote:
- Item name and description
- Quantity needed
- Price per unit
- Line total
- Quote Total: Sum of all items at the bottom
Notes and Terms
Any additional information:
- Special notes about the work or items
- Payment terms and conditions
Available Actions
What You Can Do From a Quote
- Edit: Modify any details before sending
- Send Now: Email the quote to your client
- Download PDF: Save a PDF copy
- Convert to Invoice: Once approved, convert to an invoice for payment
Understanding Quote Status
Status Types
- Draft: Quote is being worked on, not yet sent
- Sent: Quote has been emailed to the client
- Void: Quote has been cancelled (no longer valid)
Note: Unlike invoices, quotes don’t have “Paid” status. Once the client approves, you convert the quote to an invoice.
