Once your invoice is ready, you can send it to your client directly from Simple Invoice. This guide explains the process and what your client will receive.

How to Send an Invoice
Step 1: Open the Invoice
- Go to “Invoices” from the main menu
- Click on the invoice you want to send
Step 2: Click “Send Now”
- In the invoice view, click the “Send Now” button
- A popup window will appear with email preview and options
Step 3: Review the Email
The system will show you a preview of what your client will receive:
- Subject Line: The email subject (e.g., “Invoice #1001”)
- Email address: The email address that the invoice will be sent to
- Email Body: The message text with invoice details
- Preview: How it will look when the client opens it
Step 4: Customize (Optional)
If you want to personalize the email before sending:
- Custom Subject: Change the email subject line if desired
- Custom Message: Replace or edit the email body with your own message
- Leave these blank to use the default message
Step 5: Send
- Click the “Send” button
- The email will be sent immediately to your client
- You’ll see a confirmation message
What Your Client Receives
The Email
The client will receive an email containing:
- The personalised message
- Invoice number, total amount, and due date
- A secure link to view the invoice online
The Secure Link
When your client clicks the link, they can:
- View the complete invoice details
- Download a PDF copy if needed
- Make a payment (if you’ve configured payment options)
- No login required – the link is secure and unique to that invoice

After Sending
Invoice Status Updates Automatically
- If the invoice was in “Draft” status, it changes to “Sent”
- If it was already “Outstanding” or similar, it remains unchanged
- You can manually change the status anytime
Track Your Invoice
- Return to the Invoices list to see the updated status
- The invoice now shows as “Sent”
- Monitor whether the client has paid for the invoice
